This page explains what we collect when you book a demo of Worklight, how we use it, and the choices you have. It also explains what Worklight reads from a calendar that a person who uses Worklight connects. “We” and “us” mean Worklight.

What we collect

When you ask for a call or book a demo, we collect:

  • your name, mobile phone number and email
  • for a booking, the day and time you pick, and the time zone your browser reports
  • that you agreed to calls and texts, the exact words you agreed to, and when
  • your IP address and the type of browser you used, saved with your agreement as a record of it

If you came to the page from one of our ads, a measurement tag on the demo page tells the ad service that you asked for a call, so we can see which ads work. It may set a cookie in your browser. With it we send the ad service a one-way scrambled form of your email (a hash), which it can match to a signed-in account but cannot turn back into your email. We do not send your name or phone number, and we do not send the email itself.

An analytics service learns how the demo page is used: how far down you read, whether you played the call and whether you started the form. A session-replay service also records how the page is used, with what you type masked. Each may set a cookie in your browser.

How we use it

  • to call you when you ask for a call, answer your questions and book a time with you
  • to book your demo and hold the time for you
  • to call and text you about your demo: to confirm it, remind you, and help you change the time
  • to answer your questions and follow up about your demo
  • to keep a record that you agreed to calls and texts

Calls and texts

We call and text you only if you agree, and only about the call you asked for, your demo or your Worklight account. Some calls and texts may be automated, including by AI. Agreeing is not a condition of buying anything. You can ask us to stop calling you at any time.

Text messages

Worklight sends these texts. They are about the demo you booked, your Worklight account and calls you asked for.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.

We do not share, sell or provide your mobile phone number or your consent to receive text messages to third parties or affiliates for marketing or promotional purposes.

Who we share it with

We do not sell your personal information.

We use service providers to run Worklight, for example to send texts, place calls and host our systems. They use your details only to provide those services to us. We may also share details when the law requires it.

How long we keep it

We keep your booking details while we are in touch with you about your demo, and for a reasonable time after. We keep the record that you agreed to calls and texts for longer, so we can show you agreed. You can ask us to delete your details at any time. We then keep only that record (your number, the words you agreed to, when, and the IP address and browser it came from) and anything else the law requires us to keep.

Your choices

  • Reply STOP to any text to stop texts.
  • Ask us what details we have about you, or ask us to correct or delete them.
  • Do not book a demo if you do not want us to have these details.

The demo is for people 18 and older, booking for a business.

Google Calendar

A person who uses Worklight can connect their own Google Calendar. Worklight then leaves the times they are busy out of the appointment times it offers. This section says what Worklight gets from Google when a person does that. It applies only to people who connect a calendar. Connecting is the person’s choice, and the person can disconnect at any time.

  • The permission we ask for.One permission, which Google describes as “View your availability in your calendars” (https://www.googleapis.com/auth/calendar.freebusy). We ask for no other Google permission. We cannot change, add or delete anything in the calendar.
  • What we read. Only the times your main Google Calendar is busy or free (free/busy intervals). We do not read the titles, descriptions, guests or places of your events, and we do not read your name or email address from Google.
  • Why we read it.To offer appointment times when you are free: on your booking page, and when Worklight’s AI caller offers a time on a call. We use it for nothing else.
  • How we store it.Google gives Worklight a token that lets it ask for your free/busy times. We keep that token encrypted, as yours, in your workspace’s own record. The busy times themselves are held in memory for up to five minutes and are not saved.
  • Who sees it. The people who book with you, and the people our AI caller speaks with, are shown only the times that are open, never your busy times. The open times go to the service that places the call, only so it can offer them on that call. People at Worklight do not read your calendar data, except where it is needed for security or to follow the law.
  • What we never do. We do not sell Google Calendar data. We do not use it for advertising. We do not use it to train or improve any machine learning or artificial intelligence model.
  • How long we keep it. The token stays until you disconnect, you are removed from your workspace, or the workspace is deleted. Then we delete it.
  • How to disconnect. In Worklight, open Settings, then Profile, then Booking, and press Remove on the Google Calendar row. Worklight deletes the token and asks Google to end the access. You can also remove Worklight’s access at any time in the security settings of your Google Account, where Google lists the apps that have access.

Worklight’s use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
